Privacy notice
This notice explains how the Vetnivo pilot handles personal data. It is written for website visitors, pilot applicants and authorised practice users.
Who is responsible?
Vetnivo is the service operator and contact point for website leads, invitations and product administration. Formal company details are pending registration. Contact: info@vetnivo.com.
What we process
- Lead and contact details submitted through the website.
- Practice name, invited user email, access status and onboarding settings.
- Consult transcripts, draft SOAP notes, reviewed procedures and exports created by authorised users.
- Limited usage records such as generation, transcription and last-activity timestamps.
Why we process it
We use these data to review pilot applications, provide and secure the requested service, support users, measure pilot use and improve reliability. Vetnivo does not sell personal data or use clinical content for advertising.
Service providers
Vetnivo uses Cloudflare/OpenAI Sites for hosting and authentication, OpenAI for transcription and draft generation, and Resend for operational email. Data may be processed outside the EEA subject to the safeguards offered by those providers. Practices must review and accept the applicable processing arrangements before using real patient data.
Audio and AI output
Uploaded or recorded audio is sent for transcription and is not retained by the Vetnivo application. The resulting transcript and reviewed documentation are stored in the practice environment. AI output is a draft and is not an autonomous medical decision.
Retention
Pilot lead and account data are retained while follow-up or the pilot relationship remains relevant. Consult transcripts, SOAP drafts and procedures are automatically deleted after the practice-selected period of 30, 90 or 180 days; 90 days is the pilot default. Practice owners may delete their stored data sooner. Audio is not retained by Vetnivo.
Your rights
You may request access, correction, deletion, restriction, portability or object to processing where applicable. Contact info@vetnivo.com. You may also complain to your competent data-protection authority.
